Privacy Policy

This policy explains how Vendor Tools (“we”, “us”) handles personal information when you use our website, apps and related services. It should be read alongside our Terms & Conditions. By using Vendor Tools you acknowledge this policy.

We do not sell your data

We do not sell your personal information to data brokers, advertisers as a standalone product, or other third parties for their own unrelated purposes. We do not licence or transfer your profile, contact details or activity history for marketing databases or similar schemes.

We do not move your data “off site” for bulk exploitation. Personal data is processed to run Vendor Tools (account, marketplace, payments, shipping tools, support). Where another company helps us deliver a specific feature — for example taking a card payment or buying a postage label — we only send them the information strictly required for that direct request or transaction, as described below. We do not hand over your full dataset to partners “just in case.”

Who is responsible for your data?

The data controller for personal information processed through Vendor Tools is the operator of the Vendor Tools service (referred to here as “Vendor Tools”). If you need the legal entity name and registered address for data-protection requests, use the contact details at the end of this page.

What information we collect

  • Account & profile: email, display name, password (stored securely; we do not store it in plain text), avatar or profile image if you upload one, preferences (e.g. currency, settings you choose in the product).
  • Marketplace & inventory: listings, inventory records, purchase and sale history, messages or actions related to orders, feedback you give or receive, watchlist and basket activity where applicable.
  • Payments: billing-related data is handled primarily by our payment provider (Stripe). We may store references to transactions, amounts and status so we can show your order history and comply with law — not your full card number (card details are processed by Stripe).
  • Shipping: names, addresses and contact details needed to deliver items or buy labels, and tracking identifiers when you or a carrier provide them.
  • Technical & usage: IP address, device/browser type, approximate location from IP, log data, cookies and similar technologies (see below), and how you navigate and use the service.
  • Support & communications: content you send when you contact us or report an issue.

How and why we use your information

We use personal data to: create and secure your account; provide the marketplace, inventory and related tools; process payments and payouts; facilitate shipping and tracking; show you relevant content and (where we use them) measure or improve advertising; prevent fraud and abuse; comply with legal obligations; and respond to you. Depending on the activity, we rely on performing our contract with you, legitimate interests (e.g. security, product improvement, proportionate marketing analytics) and, where required, your consent (e.g. non-essential cookies or optional communications).

Integrations & third-party services (minimum necessary only)

We may integrate with other services so Vendor Tools can function. In each case we aim to share only the details required to process that direct request or transaction— not your entire account export or unrelated profile. Those providers process data under their own privacy policies and (where they act as processors) our instructions.

  • Stripe — for card payments, Connect payouts to sellers, subscriptions and related fraud checks. Stripe receives payment and identity details needed for that payment or payout (e.g. card data, bank connection metadata, business details where required by regulation). See Stripe’s privacy notice for how they handle that data.
  • Advertising & analytics (e.g. Google Ads, Meta, or similar) — if we use them, we may send event or device identifiers so we can measure ad performance, build audiences within the platform’s rules, or show relevant ads. We do not sell your contact list to these platforms; sharing is limited to what those tools need to attribute or deliver campaigns you may see after visiting or using Vendor Tools.
  • Royal Mail (or other carriers we support) — when you buy a label or track a parcel, we pass address, service and parcel data needed for that shipment or tracking lookup only.
  • Other infrastructure — hosting, email delivery, error monitoring, etc. They typically see technical or operational data necessary to run those services.

We do not authorise these providers to use your personal data for their own unrelated commercial purposes beyond what their service requires and what the law allows.

Cookies & similar technologies

We use cookies and similar technologies to keep you signed in, remember preferences, protect the site, and (where enabled) understand usage and support advertising measurement. You can control many cookies through your browser settings; strictly necessary cookies may be required for login and security.

How long we keep data

We retain information only as long as needed for the purposes above, including legal, tax and dispute resolution. Account data is kept while your account is active and for a reasonable period after closure. Transaction records may be kept longer where the law requires.

Security

We use appropriate technical and organisational measures to protect personal data. No online service is completely secure; you should use a strong, unique password and protect your account credentials.

International transfers

Some providers (e.g. Stripe, cloud hosting, ad platforms) may process data in the UK, EEA, US or other countries. Where data leaves the UK/EEA we rely on approved mechanisms (such as adequacy decisions or standard contractual clauses) as required by applicable law.

Your rights

Depending on where you live, you may have rights to: access your personal data; correct inaccuracies; delete data in certain circumstances; restrict or object to processing; data portability; and withdraw consent where processing is consent-based. You may also complain to a supervisory authority (in the UK, the ICO). To exercise rights, contact us using the details below. We may need to verify your identity before fulfilling a request.

Children

Vendor Tools is not directed at children under the age at which they cannot lawfully enter into contracts in their jurisdiction. We do not knowingly collect personal data from children for that purpose.

Marketplace & other users

When you buy or sell, buyers and sellers see information needed to complete the order (e.g. shipping address, display name). Treat other users’ data responsibly and only use it for that transaction. See our Marketplace Policy for how the marketplace works.

Changes to this policy

We may update this policy from time to time. We will post the revised version on this page and update the “Last updated” date. Material changes may be communicated by email or in-app notice where appropriate.

Request deletion of your information

You may ask us to delete your personal information where applicable law allows. To do so, contact us using the same support or contact options as in the section above and clearly state that you are requesting deletion of your account, profile, or other personal data tied to Vendor Tools. We will respond within a reasonable time and may need to verify your identity before acting. Some data may be kept where the law requires (for example accounting, tax, or fraud-prevention records), in which case we will explain what we can delete and what must be retained.
